Common QuickBooks Issues

Switching from QuickBooks Desktop to QuickBooks Online

If you are transitioning from QuickBooks Desktop to QuickBooks Online, it is important to complete all steps in the QuickBooks Online Setup Guide.

Failing to follow the full setup process may result in connection errors or incomplete data transfer between your order panel and QuickBooks Online.


Order Panel Freezing in Software Settings

If your order panel freezes when trying to open the Software Settings tab in the Settings menu:

  1. Force Close Both Programs

    • Open Task Manager (Ctrl + Shift + Esc).

    • End the tasks for both the Order Panel and QuickBooks.

  2. Reopen QuickBooks First

    • Launch QuickBooks before opening the order panel.

  3. Check QuickBooks Connection

    • In the Software Settings tab, confirm that “Default” appears beneath the QuickBooks-related buttons.

    • If “Default” is not displayed, recheck your QuickBooks integration setup.


Rerunning Invoices for a Specific Group or Time Period

If you need to rerun invoices in QuickBooks for a specific customer group or date range:

  1. Navigate to the QuickBooks Software Settings section in the order panel.

  2. Click the Undo button.

  3. Select the option that best fits your needs (e.g., undoing invoices for a particular group or time period).

More details on how the "Undo" feature works:

  • When you run invoices from Digital Waybill to QuickBooks successfully, that also marks the orders in Digital Waybill as "already invoiced". Orders that are marked "already invoiced" in Digital Waybill will never show up again to be invoiced in QuickBooks, even if you pick the exact same billing group and date range again.

  • The "Undo" feature in Digital Waybill will change the orders marked "already invoiced" in Digital Waybill to no longer be marked. That means these orders will show up to be invoiced in QuickBooks again.

  • The "Undo" feature in Digital Waybill does NOT change or delete anything in QuickBooks. You will need to manually delete the invoices in QuickBooks first before using "Undo" in Digital Waybill and running invoices again.


QuickBooks Version Settings

The Force 32-bit option in Additional Settings must match your QuickBooks version:

  • QuickBooks 2021 or earlier → Ensure Force 32-bit is enabled.

  • QuickBooks 2022 or later → Ensure Force 32-bit is disabled.

This setting affects compatibility and can prevent connection errors when not configured correctly.
